PORTICO Community Church, is a Christian church, incorporated as a registered Canadian not-for-profit charity, affiliated with the Pentecostal Assemblies of Canada (PAOC), serving the Greater Toronto Area (GTA) with campuses located in Mississauga, Milton and Brampton.
PORTICO’s senior pastor, elected by the official members, reports to the board of elders on vision, direction, ministry and church operations. The senior pastor is empowered and monitored through policy governance for the hiring, management and care of all ministry staff and for the oversight of ministries, facilities and operational matters.

CENTRAL SUPPORT ASSISTANT
Reporting to the Director of Administration, the primary role of the Central Support Assistant is to manage the EVENT and SERVE Help Desks at PORTICO.
KEY AREAS OF ACCOUNTABILITY
1. Manage EVENT Help Desk:
- Manage Event Help Desk through Event Design forms, ClickUp and Brushfire
- Assist with facility bookings (external and internal requests), including Funeral, Weddings, Ops approval on PCO (Planning Center) Calendar
- Assist with ClickUp Event Management
- Communicate with pastors on event related topics and issues. Attend pastors and CONNECT meetings
- Set up and facilitate Zoom meetings as needed
2. Manage SERVE Help Desk:
- Use Salesforce CRM Serve Opportunity and Opportunity Stages to track Ministry Partners and their timely renewals
- Support in the area of SERVE Help Desk–approve Ministry Partners in Planning Center (PCO) People and block out inactive Ministry Partners
- Assist with PORTICO Quarterly Plan to Protect Compliance Report
- Assist with SERVE HelpDesk document retention and electronic document retention of all other Plan to Protect documents relating to annual registrations, attendance (kids, youth, adults), visitors, event permission forms, etc.
3. Assist Training Help Desk:
- EVENT Help Desk Training Manual
- SERVE Help Desk Training Manual
- Brushfire Event Registration platform Training Manual
- ManagedMissions platform Training Manual
- Facility Booking Process Manual
- Zoom platform Training Manual
- Salesforce training for staff, Pastors and Finance team members including contributor's active/inactive/tithing envelopes, deceased records, and postage meter
- Ministry Partner training covering Plan to Protect procedures & Planning Centre Online
- Create best practice manuals for your department
4. Serve as Secondary on the Central Support team for the following roles:
- Phone system
- Event printing
- Hospitality
- T-shirt orders
- Water baptism letters and certificates
- Other outsourced print jobs
5. Manage iPad deployment – Manage the iPad deployment ClickUp list, iPad updates and App installation
6. Central Support representative at weekly pastors and CONNECT meetings
7. Data and Document Retention: Revver (SERVE Application and other data)
8. Content proof-reading, as assigned
Other Tasks Include:
1. Assist with Short Term Mission (STM) Pathway (ManagedMissions), as required
2. STM Guidelines: Covering process workflow for STMs
3. Work with CONNECT Help Desk to cover SERVE SFDC Opportunity Stages, Cases/Tasks and Ministry Partner renewals
4. Carry out roles and fulfill responsibilities related to PORTICO’s Emergency Preparedness (Fire Evacuation Plan & Lockdown Procedures)
5. Assist with Central Support, Guest Services lunch coverage
6. Assist with iPad Deployment and iPad upgrades (Apple Configurator)
7. Perform other duties as assigned by the Senior Pastor, Executive Pastor or your supervisor
LEADERSHIP EXPECTATIONS
As a member of PORTICO’s central support team, this role requires that you personally embrace, actively promote and support PORTICO’s mission, vision, core values and Ends within all expressions of the church community. This role is not simply “doing”, but primarily facilitating, equipping, empowering and supporting.
This position is often involved in sensitive situations and the individual may become aware of privileged information requiring sound judgment and discretion. Strict confidentiality must be maintained when dealing with the elder board, pastoral or congregational related issues. A violation of confidentially is grounds for immediate dismissal.
LEADERSHIP COMPETENCIES AND QUALIFICATIONS

Administration support training through an undergraduate diploma or degree program or its equivalent.

Desirable to have 3-5 years of experience as an administrative assistant.

Maintains a personal, vibrant relationship with Jesus Christ as Lord and Saviour.

Spiritual gift of administration, shepherding and leadership. Understands and fulfills the biblical qualifications of leadership found in I Timothy 3:1-7 and Titus 1:5-9.

Ability to handle change, implementing innovations across all the platforms that are in use. Helping to keep pace with technological advancement around Salesforce CRM and automation.
